Introduction
Providence Equity Partners L.L.C. (the “Firm,” “we,” “us” or “our”) is providing this notice to explain how we collect, use and share (collectively “process”) personal information we obtain about our job applicants (“Applicants”), in accordance with applicable privacy laws that may be enacted from time to time, including the Data Protection Act (2021 Revision) (the “DPA”), the California Consumer Privacy Act (the “CCPA”) and similar state privacy laws in the United States, the General Data Protection Regulation (the “GDPR”) and the United Kingdom Data Protection Act 2018 and the GDPR as it forms part of the law of England, Wales, Scotland and Northern Ireland (together, the “UK GDPR”), as applicable.
Types of Personal Data We Process
In the course of our regular business, we collect, store, transmit, and process certain types of personal data related to Applicants (“Applicant Personal Data”) which may include, but are not limited to:
- Identifiers, such as your name, postal and residential address, unique personal identifier, online identifier, email address, phone number, and other information that might appear on your CV or resume;
- Professional or employment-related information, including your previous and current roles/positions/titles and areas of responsibility, pre-employment references, your eligibility to work in the country where the position is located, whether work authorization sponsorship is required, and whether you are willing to relocate or travel;
- Education information, including academic record, qualifications, data relating to training, courses, and work placements; and
- Information collected throughout the assessment and interview process, such as during phone or video calls (including calls that are recorded and automatically transcribed and summarized) and through emails and other correspondence.
For U.S. applicants only, we may collect confirmation that you are over the age of 18.
Some of the Applicant Personal Data we collect may be “Sensitive Personal Information,” this includes government identifiers, information that would provide access to a personal financial account, precise geolocation, contents of mail or messages, information relating to an individual's health or mental or physical condition, criminal convictions or offences, trade union membership, their race or ethnicity, their religious or philosophical beliefs, political opinions and/or sexual life or orientation, whether they are affiliated to any trade union and any genetic or biometric data.
We may process Sensitive Personal Information where the individual has given their explicit and informed consent or has made the information public, or in accordance with applicable law where otherwise necessary in order to (a) carry out and fulfil our legal rights or obligations in relation to a staff member's employment, (b) protect their vital interests, (c) assess their working capacity, (d) establish, exercise or defend legal claims or (e) reasons of substantial public interest (such as in connection with ensuring equality of opportunity or treatment, preventing or as part of our obligations relating to fraud, terrorist financing or money laundering). Where required or permitted by applicable laws, the Firm may ask you for your consent to process Sensitive Personal Information.
You may be asked to provide Applicant Personal Data as part of the application and recruitment process. If you do not provide this Applicant Personal Data when requested, and it is necessary for the Firm to consider your application or otherwise comply with its legal or contractual obligations, we will not be able to process your application or continue the recruitment process. In all other cases, the provision of Applicant Personal Data is voluntary.
Purposes of the Processing of Applicant Personal Data
Applicant Personal Data may be processed for business purposes related to your review for employment by the Firm, including human resource functions, Applicant communications, Firm business, as required or permitted by law. In particular, the Firm will process Applicant Personal Data where doing so is necessary (a) to review and assess your application for employment in order to consider entering a contract with you, (b) for the Firm’s legitimate interests, including to administer human resource functions, contact you about opportunities that may arise in the future, and protect the Firm’s legal rights, and (c) comply with legal or regulatory requirements, such as to conduct background screening and eligibility to work checks. Where required or permitted by applicable laws, the Firm may ask you for your consent to process Applicant Personal Data.
Disclosure of Applicant Personal Data and Recipients
In order to process Applicant Personal Data for the purposes described in this Applicant Privacy Notice such Applicant Personal Data, as is necessary, may be disclosed to any of the following, without limitation:
- certain employees of the Firm;

service providers, agents, contractors, consultants and advisors of the Firm, including recruitment platforms, IT hosting and maintenance providers, and companies providing services under contract to the Firm;

any governmental, administrative, judicial or regulatory authority, including courts, governmental and non-governmental regulators, tax authorities, ombudsmen, law enforcement agencies and fraud prevention agencies;

any third party that acquires, or is interested in acquiring, all or part of the Firm’s assets or shares, or that succeeds the Firm in carrying on all or a part of its business, whether by merger, acquisition, reorganization or otherwise; and/or

third parties as required or permitted by law, including to comply with a subpoena or similar legal process or government request, or when the Firm believes in good faith that disclosure is legally required or prudent to further the Firm’s commercial purposes, including actual or prospective legal proceedings involving the Firm or for the purposes of obtaining legal advice or establishing or defending our legal rights and property.
International Transfers of Applicant Personal Data
Given the global nature of the Firm’s activities, we may transfer Applicant Personal Data to other Firm entities and to other recipients as described above that are located in countries outside the country in which you or the Firm is located. To the extent required by, and in accordance with, applicable data privacy laws, we rely on appropriate safeguards in respect of international transfers of Applicant Personal Data, including (a) using standard contractual clauses approved by relevant authorities as ensuring adequate safeguards, (b) obtaining your consent after first informing you about the possible risks of such transfers, (c) when the transfer is necessary for the performance of a contract between you and the Firm, or if the transfer is necessary for the performance of a contract between the Firm and a third party and the contract was entered into in your interest, and (d) when the transfer is necessary to establish, exercise or defend legal claims. Storing and Retaining Applicant Personal Data
Applicant Personal Data is collected, used, retained, and shared by us and designated third parties only as necessary to achieve the purposes disclosed to you in this Privacy Notice or otherwise disclosed at or before the time of collection. As a general matter, we will not retain Applicant Personal Data for longer than is reasonably necessary for each disclosed purpose. We determine the period for retaining Applicant Personal Data, which will take into account achieving the purpose for collecting the information, and to comply with legal, regulatory, accounting, reporting, internal policy requirements or for the establishment or defense of legal claims.
Applicant Personal Data Rights
As an Applicant, you may have a right to access and to obtain a copy of your Applicant Personal Data or to request the correction of your Applicant Personal Data.
You may also have the right to
- object to the processing of your Applicant Personal Data;

request the rectification and/or erasure of your Applicant Personal Data;

request restriction on the processing of your Applicant Personal Data;

request us to share your Applicant Personal Data with another organization;

withdraw consent that you previously provided for processing of your Applicant Personal Data (without this withdrawal affecting the lawfulness of any processing that took place prior to the withdrawal); and/or

complain to a data privacy authority about our processing of your Applicant Personal Data.
We will honor such requests, including for withdrawal or objection as required under applicable data protection rules, but these rights are not absolute; they do not always apply and exemptions may be engaged. We will usually, in response to a request, ask you to verify your identity and/or provide information that helps us to understand your request better. If we do not comply with your request, we will explain why.
